Creating, editing, and deleting folder types

Folder types allow users to classify folders according to their context or discipline.

Tip    Once you have opened a folder type property page, you can create, edit, and delete folder types without returning to the folder types list page. Simply select an existing folder type from the list on the property page, if necessary, and click the appropriate button.

To create a new folder type:

  1. In the Settings view, expand the name of the workspace in which you want to create the folder type, expand Folder properties, and click Folder types. A page listing the existing folder types appears.
  1. In the Folder types section header, click New. A page showing the available folder type options appears.

Tip    To create a new folder type using an existing folder type as a template, select the folder type that you want to use before clicking New. The options of the selected folder type will be set as the defaults for the new folder type. You may then simply change the options as necessary for the new folder type.

  1. Click options or type values using the descriptions in the following table.
Folder properties
Option Description

Folder type code

Type a unique code to identify the folder type. The folder type list shows the code in parentheses after the folder type name.

Warning    Do not type an existing code or data loss can occur.

Tip    If a workspace uses a hierarchical folder structure, you can use a corresponding hierarchical notation in this property. This can help users to select the correct folder type depending upon the existing folder structure. For example, if the folder types Architectural and Electrical should only be created as subfolders of the type Drawings, the values could be set similar to D.A and D.E, respectively.

Folder type

Type a name for the folder type as you want it to appear to users.

NEW  

Description

Type a description of the new folder type.

Set

Makes the folder type selectable by users for new and existing folders.

Search

Makes the folder type searchable by users.

Default lifecycle

Select the default life cycle for new folders made from this type.

Force lifecycle

 

Forces the life cycle to that selected for Default life cycle and users cannot change it.

Icon URL

Optional address of an image to show for folders of this type. Folder icons are not currently used by Kronodoc but this option is provided for add-ons or future versions of Kronodoc.

  1. Click Create. The page listing the existing folder types reappears with the new folder type added.

To edit an existing folder type:

  1. In the Settings view, expand the name of the workspace in which you want to edit the folder type, expand Folder properties, and click Folder types. A page listing the existing folder types appears.
  1. On the Actions menu of the folder type that you want to edit, click Edit. A page showing the folder type's current options appears.
  2. Select or type options using the descriptions in the preceding table.
  3. Click Save. The page listing the existing folder types reappears.

To delete an existing folder type:

Note    Do not delete a folder type if it is still assigned to any folders in the workspace.

  1. In the Settings view, expand the name of the workspace in which you want to delete the folder type, expand Folder properties, and click Folder types. A page listing the existing folder types appears.
  1. On the Actions menu of the folder type that you want to delete, click Delete. A confirmation dialog box appears.
  2. Click OK. The page listing the existing folder types appears with the selected folder type removed.
