Viewing and editing a transmittal

You can view a transmittal by opening it from the Workroom view. Once opened, you can then perform further actions on it.

The actions that you can perform depend on the current status of the transmittal and where in the Workroom view it resides and include:

  • Inbox – Acknowledge receipt of the transmittal.
  • Sent – Close the transmittal to prevent further actions.
  • Drafts – Send the transmittal package or re-open a closed transmittal.

To view or edit a transmittal:

  1. In the Workroom view, find the transmittal that you want to view or edit.
  2. Click the row of the transmittal. The transmittal opens in the View Transmittal dialog box. After a transmittal has been sent, the actions that have been performed on it are listed in the Transmittal history section. Any submittals that have been received in response to the transmittal are listed in the Transmittal submittals section.
  3. If you want to edit the transmittal, in the ribbon, in the Transmittal group, click one of the icons that is described in the following table. If you want to view the transmittal sheet or edit the contents of the transmittal package, see Downloading a transmittal.

    Note    If the transmittal package has already been generated, you must first reopen it as described in Closing and re-opening a transmittal.

  4. When you are finished viewing or editing the transmittal, click the click the Close button in the upper-right corner of the dialog box.

    Note    If you made changes to a previously generated transmittal package, you can regenerate it by clicking Re-generate in the Package group in the ribbon.

Option Description

Edit info

Shows the Edit transmittal information dialog box so that you can edit the transmittal title, description, and related properties as described in Creating a transmittal.

Manage documents

Shows the Select Documents for Transmittal dialog box that lists the documents that have already been added to the transmittal. It also lists the documents that are on the Clipboard but are not in the transmittal so that you can add them to the transmittal. Clear the checkbox in the left column of any documents that you do not want to include in the transmittal.

Add the documents to the Clipboard as described in Adding items to the Clipboard before clicking this icon.

When you are satisfied with the document list, click Back.

Manage recipients

Shows the Select Recipients for Transmittal dialog box so that you can select add or remove recipients. Initially, no recipients are selected.

To add user names:

  1. Click Add users. The Find users page opens in a new browser window.
  2. Type text in at least one of the fields and click Find users. Wildcard characters are supported. Names are found using the OR operator. When the search has completed, a list of the users that match your search appears.
  3. Select the checkbox in the left column of each user that you want to accept.
  4. Repeat step 3 for each user that you want to find.
  5. When you are finished selecting users, click Close. The Find users page closes and the names of the users that you selected appear in the option field.

To create a new temporary user:

  • You must have the Create user privilege or be a system or project privileged user to create user accounts.
  • Temporary user accounts are only available as long as the user has transmittals assigned to them.
  • A temporary user account can be converted to a normal user account by any system privileged user.

    1. Click New user. The Create user dialog box appears.
    2. Type text into the empty fields and then click Create user. The account is created and the new user receives an email that contains their account information and password.

To remove recipients:

  • Select a recipient in the list and then click Remove users.

When you are satisfied with the recipient list, click Back.

To delete a transmittal:

  1. In the Workroom view, find the transmittal that you want to delete.
  2. Click the row of the of the transmittal. The transmittal opens in the View Transmittal dialog box.
  3. In the ribbon, in the Transmittal group, click Delete. The transmittal is discarded.
