Understanding the Workroom view

The Workroom view shows the transmittals that you have created or received and their current status. You can think of it as a mailbox for transmittals regardless of who are the senders or recipients. The Workroom view appears when you click the Workroom tab. The Workroom view looks similar to the following figure.

The following table describes each feature of the Workroom view.

Folders

  • Inbox – Transmittals sent to you for action
  • Sent – Transmittals that you have sent
  • Drafts – Transmittals that you have created but not yet sent

Refresh

Click to update the view to show new transmittals.

Status filter

Click a status to filter the view to show open, closed, or all transmittals.

List header

Names of the properties shown in the active list. The name of the column upon which the list is currently sorted is shown in bold text. Click a column heading to sort on that column. Click the heading again to sort in the reverse order. The sorting order is indicated by icons: ascending (up arrow) and descending (down arrow).

Number

Incremental number configured by a system administrator and automatically assigned to each transmittal upon creation.

Filter

Type text in the text box and click Filter to limit the transmittals that are listed. The filter is applied to Number and Title fields of the view.

Title

Name assigned by the transmittal's creator.

Date received

The date that the transmittal was received in the recipient's Inbox.

Sender

The name of the person who sent the transmittal.

Status

Current status of the transmittal. The possible values that you can see depend on whether you are the creator of the transmittal or the recipient.

As the creator, you can see:

  • In Work – You have reopened the transmittal after it was generated.
  • Draft – You have created a draft transmittal but have not yet generated the transmittal package.
  • Ready for transmittal – You have generated the transmittal package and it is ready to be sent.
  • Sent – You have sent the transmittal to the recipient and it is frozen.
  • Partially submitted – You have received at least one submittal in response to the transmittal.
  • Closed – You have closed the transmittal.

As the recipient, you can see:

  • Received – The transmittal has been sent to you.
  • Acknowledged – You have acknowledged receipt of the transmittal.
  • Retrieved – You have downloaded the transmittal package.
  • Closed – The transmittal has been closed by its creator.
