Extracting files from documents on the Clipboard

You can extract the files attached to documents on the Clipboard in one operation. This is similar to, but faster than, exporting the files one at a time as described in Exporting properties and files. This can be useful to share files in an easy manner with organizations that do not have access to Project Portal. Only the files attached to documents are extracted. The file names are changed during the process and therefore the files cannot be imported back to the same workspace, unlike the Export command.

By default, the file names are changed to include the following property values:

  • Number (for example, 012345)
  • Version (for example, 1.1)
  • Original file name (for example, MySpreadsheet)
  • Original file extension (for example, .xls)

For example, extracting a file with the preceding property values would produce a file named 012345_1.1_MySpreadsheet.xls.

The file naming method is configurable by a system administrator and may be different from the preceding example. For more information about the file naming method used by your organization, consult a system administrator.

Note    
  • This functionality can be cleared per workspace by a system administrator.
  • Project Portal extracts the files from all of the items to a single compressed archive (.tar) file.

To extract the files of documents on the Clipboard:

  1. Add the documents to the Clipboard that you want to change as described in Adding items to the Clipboard.
  2. View the documents on the Clipboard as described in Viewing the Clipboard contents.
  3. In the ribbon, in the Import/Export group, click Extract.

    Note    Your web browser will attempt to download the archive file to your computer. If your browser's security settings block the download, you might need to adjust the settings and retry this procedure.

  4. Click Open to open the file immediately without saving it first or click Save to save the file for later viewing.
