Understanding security access levels

Whenever a new document or folder is created, it is assigned a default access level. By default, the person who creates the document in the library is the owner of the document and has the Owner access level.

Note    It is possible to configure the system in such a way that Owner access-level privileges are automatically removed when an import is performed.

A document or folder’s access-level assignments follow it wherever it goes in a library. When you move a document or folder to another folder, its access-level assignments will not change. This means that, even though you may have a sufficient access level to view the contents of a folder, you may not see some files or folders for which you do not have a sufficient access level. A system administrator can assign access levels to each document or folder within the library, and these levels determine who can view, modify, and delete the files or folders.

ProjectForce provides five cumulative access levels. That is, each access level includes, and adds privileges to, the previous access level. For example, the Author access level includes the privileges of the Viewer access level and the Owner access level includes the privileges of the Author access level.

For example, the preceding table shows that you need at least the Author access level in order to create a folder and place a document in that folder (check in).
