Specifying document content search criteria
To specify document content criteria for an advanced search:
- Begin by displaying the Advanced tab in the Document Search pane and selecting a library and optional folder to search in, as described in Executing an advanced search.
Note A content search will only find content in checked-in revisions of documents. It will not find new content added while documents are checked out.
- In the Content group, choose an option from the Order list to specify the order in which you want to search for words within document content. The option In order will search for words in the order you type them in Words or phrases. The option In any order will search for the words without respect to the order in which they appear in the content.
- Type the words or phrase to search for in Words or phrases.
- Type a number in Range to specify how close the words must be to each other within the content. For example, the number 4 specifies that the words typed in Words or phrases must appear within four words of each other in order to satisfy the criteria. A value of 0 means that the words do not need to be within range of each other.
- Repeat steps 2 through 4 for each additional content criterion you want to search.
- If you specified multiple search criteria, specify a Boolean relationship to be applied between the criteria. Select two adjacent rows by pressing the Ctrl key while clicking the button in the leftmost column of the rows you want to select. Then click the
or
button to specify the relationship that should be applied between the selected criteria. The relationship type will then appear in shaded cells in a new rightmost column, similar to the following figure.
The preceding figure shows an example of one content criterion composed of the words “stair” and “alarm” to be found in any order and a second content criterion composed of the words “fire protection” to be found in that specific order. There is also an OR relationship between the two criteria. This search will find documents containing the words “stair” and “alarm” in any order but not necessarily also containing the words “fire protection.” It will also find documents containing the phrase “fire protection” but not necessarily also containing the words “stair” and “alarm.”
- Repeat step 7 as necessary to specify relationship types between any remaining criteria rows.
- To better understand multiple interrelated search criteria, click the Treeview button
to display the criteria in a tree structure, similar to the following figure.
- When you are satisfied with the document content search criteria you have specified, proceed by specifying property value search criteria, specifying search result options, saving the search, or clicking the Find button
to run the search and view the results.
Note The Find Count button
is cleared when performing document content searches.
