Enlisting remote shares for folders
Enlisting a remote share for a folder causes a copy of the current folder to be sent to that share. The folder can be a normal folder, a folder with custom properties (that can also be copied, depending on the system configuration), or a project folder. The contents of the folder (subfolders and documents) are not copied. Unlike replicated documents, folders do not have an owner.
Certain rules and limitations apply to replicated project folders created by Meridian Enterprise Managed Change or the Meridian Advanced Project Workflow Module:
- All master document and project copy operations and references will be replicated between the collaborating shares that are enlisted for both the master document and the project copies.
- Replicated project copies can only be released as new master document revisions if all of the involved documents are owned by the local share.
- A replicated master document can only be locked if the copy is owned by the local share.
- Project workflow states and transitions are not replicated.
- Meridian Enterprise Managed Change and the Meridian Advanced Project Workflow Module features are only supported with Meridian Enterprise 2011 and higher.
Before you begin You must have the Enlist Vault privilege to enlist shares for folders the same as for documents. If the remote share is a Meridian Project Portal workspace, your current Meridian Enterprise account must also authorize you to use the Meridian Project Portal site. Also consider whether the folder might reference documents that reside in other folders that should also be shared.
To enlist a remote share for a folder:
- Select the folder for which you want to enlist a remote share.
- Click the Collaboration tab. The Collaboration property page appears.
- Click the Edit button in the lower right corner of the window. The property page becomes editable.
- Click options or type values using the descriptions in the following table depending on the remote system type that the vault is configured to share folders with.
- Click OK to save your changes.The selected shares are enlisted and a copy of the current folder will be sent to them by the next scheduled transfer.

Enlist folder shares for new documents |
Enlists the same shares for new documents created in replicated folders as the shares that are enlisted for the current folder. However, the enlistments do not remain synchronized between the folder and the documents and must be managed separately. This option does not effect project copies, which always enlist the same shares. |
Allow Release as Master Revision |
Permits replicated project copies in the replicated folders to be released as master revisions in the enlisted shares. This option is only available if the current folder is a project folder created by Meridian Enterprise Managed Change or the Meridian Advanced Project Workflow Module. This option should only be enabled if the master documents are also replicated to the selected shares. Otherwise, the master documents for the project copies will not exist in the enlisted shares and the references will be invalid. |
Note The settings for these options are not replicated to the enlisted shares and must be set at the remote sites.
After a remote share has been enlisted for a folder, it remains enlisted for the life of the folder. However, synchronization to Meridian Enterprise from the remote share can be disabled, such as at the end of a project, and resumed, such as at the restart of a project.
To disable folder synchronization:
- Select the folder for which you want to disable synchronization.
- Click the Collaboration tab. The Collaboration property page appears.
- Click the Edit button in the lower right corner of the window. The property page becomes editable.
- Click Disable Sync. A confirmation dialog box appears.
- Click Yes.
- Click OK to save your changes.
To enable folder synchronization:
- Select the folder for which you want to disable synchronization.
- Click the Collaboration tab. The Collaboration property page appears.
- Click the Edit button in the lower right corner of the window. The property page becomes editable.
- Click Enable Sync. A confirmation dialog box appears.
- Click Yes.
- Click OK to save your changes.
