Creating and editing work area states

Work area states represent steps in a change control process or project where different actions can be performed on documents by different users. The name of a work area state also becomes its current Status value.

To create or edit a work area workflow state:

  1. In Configurator, expand Work Area Templates in the configuration tree and select the work area template you want to edit. Its property pages appear in the right pane.
  2. Click the States tab to display the current workflow.
  3. Click the Edit button to modify the workflow.
  4. To create a new state, use the tools described in Drawing a workflow diagram.
  5. To edit a state, double-click the state. The state’s Properties page appears.
  6. On the General tab, click options or type values using the descriptions in the following table.
Work area template state options
Option Description

Display name

Type the name of the state as you want it to appear to users. This name should reflect the purpose of the state in the workflow.

Name

A default internal name is calculated. Accept the default in most cases.

  1. On the Subwork Area tab, select the work area templates that users can select to create subwork areas within this state.
  2. Select Documents can only be created or revised within these subwork areas if this work area state should only contain released documents. 
  3. Click the OK button to close the Properties dialog box.
  4. Click the OK button to save your changes.
