Creating and assigning workspace management roles

System administrators don't need to be the only persons who are able to create and manage workspace templates and workspaces. A system administrator can create installation-level workspace management roles and assign them to other users. The necessary roles are Workspace Administrator and Template Administrator.

Users assigned to the Workspace Administrator and Template Administrator roles will gain access to the Template workspaces section of the workspace list for which they are administrators. By default, this section is restricted to system administrators only.

Users assigned to the Template Administrator role but not to the Workspace Administrator role can only create workspaces that are of the type Template. Template Administrator members can also import workspaces, but Template will be assigned as the type. The user is also assigned as the workspace administrator and is added to the workspace as a member.

Users assigned to the Workspace Administrator role can only create workspaces. If the user does also not have the Template Administrator role, the workspaces cannot be of the type Template. Workspace Administrator members cannot import workspaces.

To create and assign the workspace management roles:

  1. Log on to Kronodoc as system administrator.
  2. In the Settings view, expand the Kronodoc installation configuration tree and select Roles. A page listing the existing roles appears.
  3. Click New. A page showing the available role options appears.
  4. Select or type options using the descriptions in the following table for the Workspace Administrator role.

Option Description

Role code

Type a unique code to identify the role, for example, PRJADM.

Role name

Type a name for the role as you want it to appear to users, for example, Workspace Administrator.

Set to documents and folder

Disable.

Permissions

Select Create workspace.

  1. Click Create. The page listing the existing roles reappears with the new role added.
  2. Repeat steps 3 to 5 using the descriptions in the following table for the Template Administrator role.
Template Administrator options
Option Description

Role code

Type a unique code to identify the role, for example, TPLADM.

Role name

Type a name for the role as you want it to appear to users, for example, Template Administrator.

Set to documents and folder

Disable.

Permissions

Select Create template and Create workspace.

  1. Assign the new roles to appropriate users as described in Creating, editing, and deleting roles.
