Configuring the Alerts options

The Alerts add-on can be configured for an entire Kronodoc installation or for individual workspaces.

To configure the Alerts options:

Before you begin

You should be familiar with configuring the following Kronodoc features:

Note    In the following procedure, unless specified as examples or defaults, property values must be set exactly as shown.

  1. In the Settings view, expand the name of the workspace (or the installation) in which you want to configure the options, expand Advanced Settings, expand Collaboration and Access Management, and click Alerts. A page showing the current Alerts options appears.
  2. Click options or type values using the descriptions in the following table. To clear a current setting, select the checkbox nearest to the setting that you want to clear. The setting will be cleared when you save your changes.

Note    For more information about a particular option, hover the pointer over the help icon or click the option caption to see a brief description of the option.

Alert functionality

Enables or disables the Alerts add-on for the current scope, installation or workspace.

Automatic alert calculation

If this option is Enabled, alert dates are calculated automatically in the specified alert properties after the user has selected the approval class or the document type while creating a new document. If this option is cleared, alert dates are not calculated automatically.

Late document warning offset

The number of days before the alert date when the system should send a warning message to the user specified in Responsible user.

Alert notification interval

The interval (in days) between sending successive notifications for late documents. For example, when set to 7 (default), a notification will be sent one day before the document exceeds the date when a status change should have taken place and weekly (every 7 days) afterward.

Alert offset selections

A comma-separated list of the periods to display in the Days late list in the Alerts view. The default values -7,-3,0,3,7,14 will display the options 7 days late, 3 days late, Late today, Late in 3 days, Late in 7 days, and Late in 14 days.

Note    This parameter is configurable only for the entire installation.

  1. Click Save Changes. The page refreshes to show the effective settings. If Alert functionality was set to Enabled, an Alert Configuration branch is added to the current scope's (installation or workspace) configuration tree. The navigation frame may need to be refreshed to see the new branch.
  2. If one does not already exist, create a group of document statuses as described in Creating, editing, and deleting document statuses. The group will be the statuses that control alerts processing.
  3. If it does not already exist, create a custom property set as described in Creating, editing, and deleting custom property sets.

Note    The Field code value specifies the group of document status codes defined in step 4 that will control alerts processing. The value 100 shown is an example but must be the same as that specified in the document status group. The three first digits shown in the example (300) can be any number.

Optional for cases when alert dates are calculated based on the date that the document was received.

  1. Assign the Alerts and Responsible user custom property sets as default for all document types or only specific document types as described in Adding and removing custom document properties.
