Removing documents from a folder

A document can appear in multiple folders even though only one copy of the document exists in the vault. Removing a document from a folder only removes its appearance from the folder and does not delete the document from the vault. To delete a document from the vault, use the Move to Recycle Bin or Delete command.

Note    To remove files from a folder, you need the Author access level to the folder.

When a document is removed from all folders, the document can no longer be found in the folder structure even though it is still in the vault. The only way to find the document is with the Document Search tools.

To remove the appearance of a document from a folder:

  1. Right-click the document within the folder that you want to remove it from.
  2. Click Remove from Folder on the shortcut menu. If the document appears in multiple folders, a dialog appears similar to the following figure listing the folders in which it appears, for you to select the folder from which to remove the document.

OR

  1. Select the document in any one of the folders in which it appears.
  2. In the Folders tab, right-click the folder from which you want to remove the document.
  3. Click Remove from Folder on the shortcut menu.

Note    When a search is removed from a folder, it is deleted from the vault and cannot be found with the Document Search tools.
