Converting records into documents

Convert records into documents effectively attaches content files to existing records in ImandrA. Records are created as described in Creating records.

To convert a record:

  1. Right-click a record and select Convert To Document on the shortcut menu.

If a search location (where the corresponding content file will be searched for based on the title of the document) has not been specified, you are prompted to provide a location. If you click Yes, a Browse For Folder dialog is shown, from which you can select a default folder for searching for files on your computer.

The Convert to document dialog appears similar to the following figure. Orange flag icons in the second column indicate that documents that have not yet been converted.

To change the search location, select Options on the Tools menu and select a folder.

  1. If the corresponding local file is found, its file name is shown in the dialog. If no file could be found or if the file name shown is incorrect, hover the mouse pointer over the end of the Filename property and click the Browse button to select a file.
  2. Select options using the descriptions in the following table.

Option

Description

Keep local copies

Does not delete the files from your computer after they have been imported into the vault.

Index

Indexes the text contained in the file for future searches.

Show properties

Shows the Properties dialog for each document to be converted so that you can view and edit its properties.

  1. Click Convert. A confirmation dialog appears.
  2. Click Yes to convert the document. When conversion is finished, a dialog reports the number of records successfully converted and the Convert to document dialog reappears similar to the following figure. Green flag icons indicate records successfully converted to documents. Orange flag icons indicate failed conversions.

  1. Click OK.
