Checking in documents

Checking in a document returns it to the vault after it has been checked out and modified. By default, when a document is checked out, it is temporarily copied to a preconfigured local folder, for example, C:\workspace\checkout.

Note    A document can only be checked in if it already exists in the vault and has been checked out. In the document list, a red check mark icon indicates that the document is checked out. If these conditions are not met, the Check In command is not visible on the shortcut menu.

To check in a document:

  1. In the document list, right-click the document you want to check in and click Check In on the shortcut menu. The CheckIn Wizard appears, similar to the following figure.

  1. Confirm or correct the document class and displayed property values.
  2. Enable Show property dialog to view or edit additional property values before the document is checked in. If you are checking in multiple documents, the Properties dialog is displayed for each document so that you can set the documents’ properties individually.
  3. Click Next to proceed. The CheckIn Wizard (Step 2 of 2) page will appear, similar to the following figure.

  1. Confirm that all of the icons in the A column indicate that the actions listed in the Action column can be completed. If you do not want an action to be performed, select another action from the Action list.Confirm that the information shown is correct and click Finish.
  2. If any of the documents being checked in has external references that are also being checked in and the external references already exist in the vault, the vault copies will be overwritten with the imported copies unless you intervene. If the external references were not also checked out to you and you do not want them to be overwritten:
  1. Select the external reference and click the Find in Library button. A Select Document dialog will appear.
  2. Select the document that you want to link to the external reference’s parent document and click the OK button. The action for the external reference will change to Link to indicate that it will not be imported. ImandrA will link the external reference’s parent document to the vault copy instead of importing the external reference.
  1. If you are checking in multiple documents and selected a different document class in step 2, the Confirm Document Class Changes dialog appears similar to the following figure. Select the appropriate options and click OK to continue.

  1. When you are satisfied with all of the actions to be performed, click Finish. If you enabled the Show Property Dialog option, the Properties dialog appears, similar to the following figure. Otherwise, the documents are checked in and the process is complete

  1. Confirm or correct the displayed property values and click OK to save your changes. The documents to be added are checked in to the current vault. If you click Cancel, the check-in operation will be canceled.
