Processing a sent transmittal

Depending on the options that were selected when a transmittal was sent as described in Sending a transmittal, it might require follow-up processing to track what actions have been taken by the transmittal's recipient.

The possible processing includes:

To process a transmittal:

  1. Click the icon. The Sent items view appears and lists the transmittals that have been sent but that need to be processed.
  2. Select the transmittal that you want to process and click the Process button. Depending on the type of processing required, different dialogs will appear.

If the Document status dialog appears:

  1. The dialog lists the documents that were included in the transmittal. Select a document for which you want to change its status and click Edit or press Enter. A smaller Document status dialog appears.
  2. Select or enter options using the descriptions in the following table.

Date

Click the calendar button and select the date that the value selected for State became effective.

State

Select a value from the list that best represents the current state of the document.

  1. To add remarks to a document:
  1. Select the document to which you want to add remarks and click Add. The Create Remark dialog appears.
  2. To enter your remarks directly in the dialog, select Note and type your remarks in the text box.

    To attach remarks that reside in a file elsewhere, select Attach document, click Browse, select the file that contains the remarks that you want to attach, and click Open. The selected file name appears in Filename.

  3. Click OK to close the Create Remark dialog.
  1. To view the remarks that have been added to a document:
  1. Select the document for which you want to view its remarks and click View. The Properties dialog appears and lists the remarks that have been added to the selected document.
  2. Right-click the remark that you want to view. The shortcut menu appears.
  3. Point to View and select an application within which to view the remarks. The remarks open in the selected application.
  4. When you are finished viewing the remarks, close the viewing application and then click OK to close the Properties dialog.
  1. Repeat steps a to e for each document included in the transmittal. When all of the documents in the transmittal have been processed, it is moved to the Archive view.

If the Receive notification dialog appears:

  1. Select or enter options using the descriptions in the following table.
Receive notification options
Option Description

Documents were received

Select this option if you have received notification from the transmittal’s recipient acknowledging that they received the transmittal.

Receive notification overruled

Select this option if you want to archive this transmittal without acknowledging receipt by the transmittal’s recipient.

Comments

Enter optional comments that further describe the options selected above.

Date

Select the date when you received notification from the transmittal’s recipient that they received the transmittal.

  1. Click OK. The transmittal is moved to the Archive view.
