Creating a folder structure template

ImandrA Desktop allows users to create folders in a library within which to store documents. However, if left up to the users over time, this can result in folder naming errors and haphazard organization. If ImandrA will be used in a project-oriented organization and you want to implement a standard folder structure such as that in the following example, the complete structure must be created before the start of each project.

This might be more work than most users want to perform, especially if they are not familiar with the folder hierarchy and naming standard. Instead, you can define a folder structure template in the library that can then be used by the users as new projects arise to maintain a standard, well organized folder structure. Folder structure templates are selected in the Manage Structure command in ImandrA Desktop. Folder structure templates are defined with the Manage Structure Designer in ImandrA Designer. Folder structure templates can be applied to one or more libraries.

To create a folder structure template:

  1. In the Manage Structure Designer, click the New Definition tool button . A new template is added in the left pane.
  2. Select the new template and click the Edit Properties tool button if it is not already activated.
  3. On the General tab, enter or select options using the descriptions in the following table.

Option

Description

ExecuteOnServer

Select True to pass the folder structure template to the SAM service. See the SAM documentation for information on configuring the SAM Agent.

MoveExistingFolder

Select True to move the selected folder to another location.

MoveOptions

Select from the list of available options to specify the scope when moving selected items.

Name

A descriptive name for the template.

RegularValueExpression

If the Manage Structure command is started from a folder, default values can be passed with a regular expression specified for this option. The variable names in the expression (for example, <Project>) are copied to the corresponding folder properties. For more information about regular expressions, see http://www.regular-expressions.info/.

  1. Define the hierarchy of the folder structure by creating folder definitions at each level as described in Creating a folder definition.
  2. Click the Save tool button to save your changes.
